OSALLISTUMISEHDOT
- Esiintäjät
Nämä osallistumisehdot koskevat soveltuvin osin kaikkia Pakanafestarien esiintyjiä: luennoitsijoita, työpajan vetäjiä, artisteja, näyttelytiloja ymv. Tarvittaessa näihin osallistumisehtoihin lisätään myöhemmin erikseen yhdessä sovittuja kohtia.
- Ohjelmahaku
Pakanafestarien esiintyjäksi haetaan lähettämällä ohjelmahakulomake. Järjestäjän vahvistama sopimus sitoo molempia osapuolia. Järjestäjä raadittaa kaikki hakemuksen lähettäneet esiintyjät. Hakemukseen tulee kirjoittaa kattava kuvaus tarjottavasta ohjelmasta. Ohjelman on sovittava yhteen tapahtuman aihepiirin kanssa.
- Korvaukset
Luennoitsijoille ja artisteille voidaan maksaa ennalta sovittu korvaus esiintymisestä. Työpajan vetäjät saavat sovittua työpajaa vastaan tilat käyttöönsä sovituksi ajaksi veloituksetta, mikäli työpaja on asiakkaille maksuton (tarvikemaksu voidaan veloittaa todellisten kulujen mukaan). Mikäli työpaja pidetään maksullisena, veloittaa järjestäjä työpajatilasta 20% työpajamaksuista korvauksena tilan käytöstä.
Muiden ohjelmantarjoajien kohdalla korvauksista sovitaan tapauskohtaisesti.
- Kulkuluvat
Kulkulupia luovutetaan esiintyjille perjantaina klo 15 lähtien ja lauantaina klo. 9.00 – 11.00. Sopimuksen mukaan kulkuluvan saa festaritoimistosta myös noin tuntia ennen esiintymistä. Kulkuluvat ovat henkilökohtaisia ja niiden on oltava näkyvästi esillä koko messujen ajan. Kulkulupia ei saa luovuttaa tai myydä kolmansille osapuolille.
- Saapuminen
Esiintyjän on saavuttava paikalle hyvissä ajoin ennen omaa esitystään. Mahdolliset esitysmateriaalit pitää toimittaa määräaikaan mennessä järjestäjille ohjeiden mukaan.
Tapahtuman näyttelyt pitää olla täysin valmiina lauantaina 12.10 klo 11 eli messujen aukeamisajankohtana. Näyttelyitä pääsee pystyttämään viimeistään perjantaina 11.10 klo 15 lähtien.
- Pysäköinti
Näytteilleasettajat voivat jättää autonsa ilmaiseen parkkiin Dipolin parkkipaikalle.
- Kahvi ja lounas
Dipolissa on useita ruokapisteitä, joista saa lounasta, kahvia yms. Tiloissa on anniskeluoikeudet.
- Vahingot, vakuutukset ja turvallisuus
Esiintyjät vastaavat itse kaikista näyttelyesineille, muille tuotteille, rakenteille, laitteille yms. sattuneista rikkoutumis-, varkaus- sekä muista vahingoista. Esiintyjä vastaa kaikista oman näyttelyosastonsa tuotteiden, työpajatarvikkeiden, soittimien, muun rekvisiitan, rakenteiden, laitteiden, palveluiden, yms aiheuttamista esine- tai henkilövahingoista, joita aiheutuu kolmansille osapuolille (asiakkaille, näytteilleasettajille, Dipolille, sen kalustukselle, tapahtuma-alueelle tai järjestäjille). Esiintyjä vastaa itse asianmukaisten vakuutusten hankkimisesta. Esiintyjät huolehtivat itse tuotteidensa käyttöön liittyvistä luvista sekä maksuista. Järjestäjä ilmoittaa artisteille Teostoluvan numeron lähempänä tapahtumaa.
Järjestäjä vastaa tapahtuma-alueen yleisestä järjestyksestä. Järjestäjä ei vastaa esiintyjien omaisuuden vioittumisesta tai katoamisesta. Esiintyjän on noudatettava yleisiä voimassa olevia lakeja, järjestäjän antamia ohjeita ja sääntöjä sekä Dipolin turvallisuusohjeita sekä paloturvallisuusohjeita. Hätäuloskäyntien edustat on pidettävä tyhjinä.
Mikäli esiintyjä peruuttaa osallistumisensa alle kolmekymmentä (30) vuorokautta ennen messujen alkamista, järjestäjällä on oikeus lähettää 1000€ sopimussakko.
- Force majeure
Järjestäjällä on oikeus ylivoimaisen esteen vuoksi peruuttaa tai siirtää tapahtuma. Järjestäjä ei vastaa tästä aiheutuneesta viivästyksestä tai vahingosta. Ylivoimaisena esteenä voidaan pitää järjestäjän vaikutusalueen ulkopuolella tapahtuvaa asiaa, jota järjestäjä ei ole kohtuudella voinut ottaa huomioon sopimuksentekohetkellä ja jonka seurauksia ei järjestäjä olisi kohtuudella voinut välttää. Näihin esteisiin lukeutuvat mm. lakko, boikotti tai muu työtaistelutoimenpide sekä tulipalo tai viranomaispäätökset tai muu Dipolin käyttöä estävä tapahtuma taikka alihankkijaa kohdannut este.
Täyttämällä ohjelmahakulomakkeen, sitoudut noudattamaan yllämainittuja sopimusehtoja sekä niiden täydennykseksi annettuja erityisehtoja ja muita ohjeita.
Järjestäjä pidättää itsellään oikeuden muutoksiin.
Suomenkielisiä osallistumisehtoja pidetään perustana mahdollisia tulkintatapauksia käsiteltäessä.

Participation terms
- Performers
These participation terms will apply to the Pagan Festival performers as fit: Lecturers, workshop hosts, artists, exhibition areas etc. These participation terms will be completed with separately agreed conditions if needed.
- Program search
Applicants will apply for performing at the Pagan Festiva by filling out the Program search application. The contract that is confirmed by the organizer will bind both of the parties. Organizer will evaluate all of the performers that have sent an application.
Application must have a specified description of the program that is offered. The program has to be in alignment with the festival’s theme.
- Compensation
Lecturers and artists can receive compensation that is agreed on beforehand. Workshop hosts may have a space for the agreed workshops for free if the workshop is free for the festival’s customers (a supply payment can be charged based on the actual costs). If the workshop participation includes a fee, the organizer will charge 20 % of the charged fees as compensation for using the workshop space.
Compensations for all other program providers will be agreed separately.
- Passes
Passes for the festival will be handed over to the performers on Friday starting from 15 o’clock / 3 pm and on Saturday from 9 o’clock to 11 o’clock / from 9 am to 11 am. The passes can be handed over also one hour before performing if agreed so. Passes are personal and they have to be visible at all times during the festival. Passes cannot be handed over or sold to third parties.
- Arrival
The performer must arrive in the area well before their own performing time. Possible presentation materials must be provided based on the instructions before a deadline to the organizer. Event exhibitions must be fully ready by Saturday 12th of October 11 o’clock / 11 am (when the festival opens). Exhibition building can be started on Friday 11th of October 15 o’clock / 3 pm.
- Parking
Exhibitors can park their cars for free at the Dipoli parking area.
- Coffee and lunch
Dipoli has several food stations that you may get lunch or coffee from. The spaces have the rights to serve alcoholic beverages.
- Damages, insurances and safety
Performers themselves will be responsible for all of the damages, thefts or other accidents that may occur to exhibition items, other products, structures, appliances etc. Performers will be responsible for all the material and personal damages that their products, workshop supplies, instruments, other props, structures, appliances, services etc. at their exhibition area may cause to the third parties (customers, exhibitors, to Dipoli, their furnishing, event area or organizer). Performer is responsible for getting proper insurance. Performers will take care of any permits or fees related to the usage of their products. Organizers will inform the permit number provided by Teosto closer to the event.
Organizer will be responsible for the general order of the event area. Organizer is not responsible for any damages or disappearance of the performer’s items. Performers must be following the general affecting laws, organizer’s instructions and rules as well as Dipoli’s safety guidelines and fire safety instructions. The emergency exits must be kept clear at all times.
If the performer cancels their performance less than thirty (30) days before the festivals, the organizer has the right to send a 1000 € contractual penalty.
- Force majeure
Organizer has the right to cancel the event due to force majeure. Organizer will not be responsible for any delays or damages caused by that. Force majeure can be considered as anything that the organizer has no control over and that the organizer could not have considered within reason when the contract has been agreed of and the following consequences that the organizer could not avoid within reason. These obstacles include for example strike, boycott or any other industrial actions and also fire accidents, decisions of authorities or any other event that prevents the usage of Dipoli or obstacles faced by the subcontractor.
By filling the application you will agree to follow the terms that have been mentioned above as well as any other additional terms that will be agreed in addition to those and other instructions. Organizer reserves the right to make changes.
Finnish participation terms will be held as a foundation when handling possible cases of interpretation.
